The Program Administrative Assistant provides administrative and executive support to:

  • Respond to and coordinate requests from supervisor and team, schedule meetings, manage calendars, and assist with travel logistics and expenses;
  • Prepare, track and manage budgetary worksheets, financial statistical data and expenditures (eg. travel, meetings, hospitality, events);
  • Process and reconcile claims and invoices within accounting software;
  • Maintain contact databases and inventories, track inquiries, support relations with contacts, keep track of various documents (such as reports, letters, invites and charts), monitor/triage incoming emails in organizational email inboxes, handle general administration as needed;
  • Arrange and coordinate logistics for events and official visits and welcome guests.
