Attorney Support Specialist

The Attorney Support Specialist is an integral part of Latham's Attorney Support team. This role will be responsible performing a variety of secretarial duties of a confidential nature for attorneys and/or managers while maintaining positive contact with clients, attorneys, and staff at all times, while providing comprehensive secretarial support for attorneys, requiring knowledge of the subject matter relevant to the attorney practice area. This role will be located in our Brussels office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.

Other key responsibilities include:
  • Proactively managing the new matter opening process, conflict checks, and drafting engagement letters
  • Managing the billing process to produce drafts and revisions, ensuring the submission of client billings
  • Liaising with Revenue Management in relation to attorney billing
  • Managing attorney communications as requested (e.g. understanding attorney preferences with regards to answering the phone/taking messages/using voicemail, instant messenger, responding to e-mail, processing postal mail, setting up videoconferences, etc.)

We'd love to hear from you if you:
  • Display professional communication skills with the ability to interact effectively with attorneys, clients, vendors, and staff throughout the firm
  • Take initiative to work both independently and in a team environment with a customer service focus
  • Can multi-task and adapt to continuously evolving technology platforms including knowledge and proficiency in PC applications required, including word processing (MS Word) and spreadsheet software.

And have:
  • High school diploma, "diplôme d'études secondaire", or equivalent required
  • Bachelor's degree preferred
  • A minimum of 3 years' relevant experience in a legal or professional services environment
  • Excellent written and verbal communication skills in English; and German, Spanish or French.
