Japanese speaking administrative Assistant

BRR Link is looking for a Japanese speaking administrative Assistant for an interimcontract for ⚠ months with possibility to become a permanent contract afterwards.

Our client is located in Zaventem and is a large international company active in the manufacturing of parts for the automotive sector, machinery, energy and metal.

As Administrative Assistant you have the following responsibilities:
* You are the back-up of the Executive Secretary:
o You arrange travel, visas and accommodations of directional staff and VIP visitors;
o You organize and maintain diaries and you make appointments;
o You deal with incoming emails, faxes and post and you screen phone calls;
o You organize meetings;
o You manage the stock management of gift items.
* Fleet management: You offer administrative support to the general manager regarding company fleet including:
o You update the fleet and driver list;
o You allocate fleet and parking spaces;
o You control fleet-related official documents and amenities;
o You manage and control fuel card and its consumption;
o You allocate pool cars.
* Administrative and practical management of expatriates and its family:
o You manage communication with Belgian authorities;
o You manage housing for Japanese and EU expatriates and their families;
o You manage all formalities related toe the departure and arrival;
o You offer support the toe expatriate and his family;
o You give presentations of "Living in Belgium".
* Receptionist:
o You answer telephones;
o You welcome visitors and ensure access and issues passes when required;
o You perform other administrative tasks upon requests;
o You make reservations for meetings, hotels, taxi, restaurants etc;
o You handle all incoming and outgoing mails.
* Document Management System:
o You open incoming invoices and scan them in de system;
o You put in all necessary fields in criteria and send it to the related department;
o You file and archive all invoices.

As Administrative Assistant you have the following qualifications:
* You have a bachelor degree (preferable in office management of administrative field);
* You have at least ⚠ years of experience in administration or equivalent;
* You are fluent in Japanese and English;
* You have a good knowledge of MS Office;
* You have a Belgian driver's license;
* You have a positive attitude and good customer service skills;
* You are able to multitask;
* You have eyes on details;
* You work confidential;
* You can handle stress and can work with deadlines;
* You are good at time management;
* You are a quick learner and you are eager to learn;
* You are team player.
